GiveProperNotice is a compliance calendar for Washington landlords. This policy explains what we collect, why we collect it, who else processes it, and what you can ask us to do with it. The short version: we collect what the deadline math needs and what billing needs, nothing else, and we do not sell it.
Account information. Your email address and a password. Passwords are hashed by our authentication provider; we never see or store the plain text.
Property and tenancy records. What you enter to get a calendar: property address, city, ZIP, and jurisdiction; and per unit, an optional label, lease type, tenancy start date, lease end date, current and planned rent, any RRIO expiration date, and whether the tenancy is subsidized. You can also record past rent changes and a log of notices you have served (what it was, when, and by what method).
We do not ask for your tenants' names or contact details. The calendar does not need them, so there is no field for them. The one exception is free-text notes in the service log: whatever you type there, we store, so please leave out anything about a tenant you would rather we did not hold.
Billing information. Our payment processor gives us your customer and subscription identifiers, plan, subscription status, and renewal date. Card numbers go directly to the processor on their own hosted checkout page and never reach our servers.
Service and usage data. Your email preferences, a record of which reminders and rule alerts we have already sent you (so we do not send duplicates), and the secret token behind your calendar feed if you turn one on. Our hosting and analytics providers process standard technical data such as IP address, browser type, and pages viewed.
To compute your deadlines and show the requirements and citations that go with them; to send the reminder emails, rule-change alerts, and calendar feed you have enabled; to run your subscription and take payment; to send transactional email such as confirmation and password-reset links; to keep the service secure and debug problems; and to understand which pages people use, in aggregate, so we can improve them.
We do not sell your personal information, we do not share it with data brokers or advertisers, and we do not use your property or tenancy records to build marketing profiles.
We use a small set of vendors, each of which processes data only to provide their part of the service:
Beyond those vendors, we disclose personal information only if the law requires it, to protect our rights or someone's safety, or to a successor if the business is ever sold, in which case this policy continues to apply until you are told otherwise.
We use two kinds of cookies. Essential cookies keep you logged in; the site cannot work without them. Analytics cookies come from Google Analytics and tell us, in aggregate, which pages get used. You can block analytics cookies in your browser or with a browser extension, and the site will work normally. We do not use advertising cookies, and we do not run third-party ad trackers.
We keep your account and records while your account is open, so your calendar stays accurate over time. If you delete your account, we delete your profile, properties, tenancies, rent history, service log, and email history. Billing records are kept by our payment processor as long as tax and accounting law requires, and backups roll off on their own schedule, typically within 30 days.
You can view and edit your records at any time from the dashboard, change your email address or password from the account page, and turn reminder and alert emails off (or back on) from that same page or with the unsubscribe link in the footer of any of those emails. Turning them off does not affect transactional email such as password resets, and your deadlines remain on your dashboard.
Whatever state you live in, you can ask us to give you a copy of your data, correct it, or delete it, and we will not treat you differently for asking. Write to hello@givepropernotice.com and we will respond within 30 days. If you are covered by a law that grants additional rights, we will honor those too.
Your records are isolated at the database level so that one account cannot read another's. Traffic is encrypted in transit, administrative credentials stay server-side and never reach your browser, and the calendar feed uses a long random token you can regenerate at will, which immediately invalidates the old URL. No system is perfectly secure, so if you believe your account has been compromised, contact us right away.
Our vendors store and process data in the United States. If you use the service from outside the US, you understand your information is processed there.
The service is for adults managing rental property and is not directed to children. We do not knowingly collect information from anyone under 18. If you believe a child has given us information, contact us and we will delete it.
If we change this policy we will update the effective date above, and for material changes we will email account holders before the change takes effect.
